Timeline for iAdvise Implementation

The iAdvise implementation began in October 2018 and is slated to begin a pilot on April 1, 2018. Beginning in Summer 2019 (tentatively July) advising units will begin integrated into using iAdvise with full usage for Phase I activities (advising scheduling, notes, referrals, virtual lobby, card swiping, and early alerts).

KICK OFF and INITIAL STEPS

Project Kick Off (October 4, 2018)

The iAdvise Project Kick Off was held on October 4th with our partners from Starfish providing an overview of key features and opportunities.

Technical Team Begins their Work (October 23, 2018)

The Technical Team began their kickoff on October 23rd and have begun working to configure and integrate the technical systems for UIC.

 

CONFIGURATION and TESTING

iAdvise Configuration (November 2018 - December 2018)

Configuration of the system is undertaken with pilot users and key members of the advising and student services community. Configuration is slated to be completed during the week of December 17, 2018.

iAdvise Configuration entered into the System (January 2019 – April 2019)

Technical configuration and testing of the system is undertaken by Office of Student System Services.

Feedback from Advising Teams Solicited on Test System (February 2019 - March 2019)

Once technical configuration and system testing begins. Advising teams and iAdvise users will be provided the opportunity to view and navigate the system to provide initial feedback for revisions of configuration.

 

PILOT PHASE

iAdvise Pilot User Training (April 2019 - June 2019)

Training for iAdvise pilot users to prepare them for using iAdvise.

May 13 - May 23: Training on Basic Core Functions (Appointments, Scheduling, Notes)

Late May: Training on Enhanced Features (Flagging, Filtering, Referrals, Success Plans)

iAdvise Phase I Pilot (April 15, 2019 - July 31, 2019)

Pilot users from the Academic Center of Excellence (ACE), the African American Academic Network, the College of Business, the College of Engineering, the Latin American Recruitment and Educational Services (LARES), and the Math & Science Learning Center (MSLC) will begin using iAdvise.

April 15- May 15:  Phase 1 Initial Setup – End users will setup initial iAdvise settings

April 24 – June 28: Colleges and Support Units can go live with system after training.

IMPLEMENTATION AFTER PILOT

Phase I Full Implementation (July 2019 - December 2019)

Based upon feedback from pilot users, all advising units and student services will begin using iAdvise for advising activities, Early Alerts, etc.

June 7: Final timeline for remaining colleges released.

June 24 – September 7:  Remaining Colleges will go live after training.

September 8 – December: Remaining units go live

September – December: Faculty using the system for Progress Surveys and Flags

 

Phase II Full Implementation (January 2020 - December 2020)

Non-advising and coaching units will be reviewed and slated for iAdvise participation and implementation. Communication plans will be developed and rolled out due to advising units being live in iAdvise.

January 2 - January 31: Units slated for the third group of implementation are being reviewed and contacted.

February - March 31: Units will be configured and trained for entry into iAdvise. Faculty communications will be developed by a sub-group of the Messaging Working Group.

April 1 - May 15: LAS will train for their day-to-day go live beginning Summer 2020.

May 15 - July 15: Project Implementation will be reviewed and plans made for improvements to iAdvise will be put in queue. Predictive Analytics second phase will kick off.
